At Avox Systems, we respect your online privacy and the necessity to protect the information you share with us through the Avox Systems Platform (“Service”) and Avox.Systems (“Site”). How Avox Systems processes your information is described below in this Privacy Policy. By using the Services or the Site, you (“Client”) agree to the Avox Systems Privacy Policy.
1. Information We Collect
1.1 Information provided by the user.
When you use the Service or the Site, as a User or as a Visitor, you may provide, and we may collect Personal Data. Examples of Personal Data include your name, email address, mobile phone number, credit card data, or other payment information. Personal Data also includes other information such as geographical area or preferences when any such information is associated with information that identifies a specific individual. You may provide us Personal Data when you:

The Client may store or upload client data in the Service. Avox Systems does not have direct relationships with individuals whose personal data it hosts and processes on behalf of such clients. Each Client is responsible for informing their customers and third parties about the purposes for which the Client collects their Personal Data and how these Personal Data are processed in or through the Service as part of the Client’s data.
1.3 Information we collect through the Services.
The Services that you purchase or register to use may connect and transmit system, application, or product data to Avox Systems. This data may include, among other things, the operating system, system model, and IP address, web pages or sites visited immediately before or after using the Service, pages or other content the Visitor views or interacts with in the Service, as well as the dates and times of visit, access, or use of the Service. We may also use these technologies to collect information about the Visitor’s or User’s interaction with email messages, such as whether the Visitor or User opens a message and clicks on links within it. This information is collected from all Site Visitors.
We may link this information with Personal Data to provide you with a better Service and improve our Products and Services. Most browsers allow you to delete and block cookies and web beacons.
1.4 Information collected through single sign-on.
You can log into our Services using a single sign-on service from Google. This service will verify your identity and give you the option to share certain Personal Data with Avox Systems, such as your name and email address, to partially fill out our registration form.
1.5 Information we collect from other sources.
We may receive information, including Personal Data, from third parties and sources other than the Service, such as our partners, advertisers, and Integrated Services. This information is processed and protected as personal information when it is combined with information from other sources listed above.
2. How We Use the Information We Collect
We use the information we collect in various ways to provide the Service and manage our business, including the following:
2.1 Operations.
We use various Personal Data and other automatically collected information to manage, maintain, improve, and provide all the features of the Service, and to respond to your requests, questions, and provide support and assistance.
2.2 Improvement.
We use this information to better understand how you interact with the Site and Service, to improve them, and to develop new Service features, reference materials, and other documentation aimed at helping Clients interact with the Site or Service.
2.3 Communication.
We use Personal Data for effective communication with Users and Clients. This includes administrative purposes such as customer service, informing about promotions and events related to the Products and Services offered by us and third parties we work with. You have the option to opt out of receiving marketing messages as described below in the section “Your Choices Regarding Your Personal Data.”
2.4 Cookies and Other Technologies.
We use cookies and tracking software to provide, improve, protect, and promote our Services. Cookies help us understand how you interact with our Services and how we can improve them based on such information. Upon request, Avox Systems will provide you with information about
whether we hold any of your Personal Data. We will take reasonable steps to update, correct, and delete Personal Data that we hold and that have been obtained through the Service. We will respond to your request within reasonable terms. Please note that while any changes you make will be reflected in active user databases instantly or within a reasonable period of time, we may retain all information you submit for backup, archiving, preventing fraud and abuse, analytics, fulfilling legal obligations, or where we otherwise reasonably believe that we have a legitimate reason to do so.
We will retain Personal Data that we process on behalf of our Clients for as long as needed to provide services to our Clients. Avox Systems will retain this Personal Data as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.
3.2 Analytical data.
You can opt out of the collection of navigation information about your visit to the Site through Google Analytics by using the Google Analytics opt-out features.
3.3 Opting out of commercial communications.
If you receive commercial emails from us, you can unsubscribe at any time by following the instructions contained in the email, responding to the indicated email, or contacting us directly from the “Contact” page on the Site. Even after you opt out from receiving commercial messages from us, you will continue to receive administrative messages from us regarding the Service.
Avox Systems does not have direct relationships with the users of the Client or third parties whose Personal Data it may process on behalf of the Client. The individual seeking access or trying to correct, amend, delete inaccurate data, or withdraw consent for further contact should direct his or her query to the Client or User they deal with directly.
4. Third-Party Services and Sites
The Services and Site may contain features or links to third-party websites and services. Any information you provide on third-party sites or services is provided directly to the respective operators and is governed by their privacy and security policy, if any. Avox Systems is not responsible for the content or privacy and security policy and practices of third-party sites or services linked through the Services or Site of Avox Systems. We recommend that you review the privacy and security policies of third parties before providing them with your Personal Data.
5. Age Restrictions
The Service and Site are not targeted at engaging anyone under the age of 14. Visitors who have not reached the age of 14 are prohibited from using the Service or Site and must immediately leave the Site.
6. Data Security
Avox Systems is committed to protecting your Personal Data from unauthorized access, alteration, disclosure, or destruction. We adhere to generally accepted standards for protecting Personal Data submitted to us, both during transmission and once we receive it. We take a variety of security measures, including physical access restrictions, technical security monitoring, and internal security audits of the environment. Our policy also prohibits employees from viewing personal information without legal grounds. We undertake to ensure that employees and partners of Avox Systems are bound by confidentiality obligations. You acknowledge and agree that data transmission over the Internet or email is never completely secure and error-free. You agree to be careful about deciding what information you send us via email.
7. Data Controller and Data Processor
Avox Systems does not own, control, or direct the use of any of the Client Data stored or processed by the Client or user through the Service. Only the Client or Users have the right to access, retrieve, and direct the use of such Client Data. Avox Systems is largely unaware of what Client Data is actually stored or made available by the Client or User to the Service, and does not have direct access to such Client Data, except where permitted by the Client or as necessary to provide Services to the Client and its Users.
Avox Systems does not determine the use of any Personal Data contained in the Client Data, or how such data were collected or subsequently used. Avox Systems does not act as a data controller in accordance with the General Data Protection Regulation of the European Union (Regulation (EU) 2016/679, hereafter “GDPR”) and does not carry the related obligations under GDPR. Avox Systems serves only as a data processor, and any inquiries regarding how Personal Data are collected and used by Avox Systems Clients should be directed to the respective Clients. Avox Systems is not responsible for the content of Personal Data contained in Client Data or other information stored on its servers.
8. Changes and Updates to the Policy
Avox Systems may update this Privacy Policy at any time without prior notice. We recommend that you periodically check for updates and changes. By continuing to use the Services or Site of Avox Systems, you automatically agree to the updated Privacy Policy.
10. Terms of Use
When you access the Services and use them, you as a subject are subject to the Terms of Use of Avox Systems.
